An online store means your customers can shop at any time. You cannot always be there to answer messages about stock at 2 a.m.
You don't have to be available 24/7. You can build a system that works for you. It helps customers find answers, even when you are resting.
A good FAQ page
Your first step is a good Frequently Asked Questions (FAQ) page. Many owners write it once and forget it. Your FAQ should change as your business gets new questions.
To make your FAQ page useful:
- Look at your emails, social media messages and chats. Find the questions people ask often. Use these real questions.
- Write questions the way your customers do. For example, use “How can I return an item?” instead of “Returns Policy”.
- Group questions by topic. Use headings like “Shipping and Delivery”, “Payments”, or “Returns”. This helps people find answers without reading everything.
- Write short, clear answers. Avoid jargon. Use lists if an answer is complicated.
A wine shop, for example, could have an FAQ section for “Packaging and Transport”. It could answer questions like “Can bottles break during shipping?” and “How should I store the wine when it arrives?”.
Let people know when you reply
Tell your customers when you are available. They will understand if they know when to expect a reply.
- Put your work hours on your website. Add them to the footer, the contact page, and social media bios. For example: “We reply Monday to Friday, 9 am to 6 pm.”
- Set up automated replies for email, Instagram and WhatsApp outside your work hours. The message can say thank you and state your support hours. Give an estimate for when you will reply, like “on the next business day”.
- In your automated reply, you can also link to your FAQ page. For example: “Thanks for your message. We will reply soon. You might find an answer in our FAQ: [link]”.
This tells the customer you received their message and when you will be back.
Use an assistant for specific questions
An FAQ page cannot answer every question. A customer might ask, “Is this dress available in blue, size M?” or “Do you still have that mug in stock?”. An AI assistant can answer these questions. It connects to your store and checks your catalogue.

- Is there a lot of interest in an out-of-stock product? It may be a good idea to restock it faster or add a “notify me” button.
Looking at these messages helps you improve your store. You can fix problems and get fewer questions in the future.
